Bill format

Delivery challan format

The document that travels with goods when there is no sale yet: job work, approval, exhibitions, transfers or liquid gas.

What it is

A delivery challan records the movement of goods that are not being sold at that moment, or whose quantity is not known when they leave. It names the consignor and consignee, lists the goods, gives their value and says why they are moving.

It replaces the tax invoice only for the trip. If the movement later turns into a sale (for example goods sent on approval and kept by the customer), you issue the tax invoice then.

When to use it

  • Sending material to a job worker and getting it back (section 143).
  • Goods sent on approval or sale-or-return, for exhibitions, or for repair.
  • Liquid gas, where the exact quantity is known only at delivery.
  • Moving goods between your own godowns or branches in the same state, where it is not a supply.
  • Goods sent in lots (SKD/CKD): the invoice is issued before the first lot, and each lot travels on a challan quoting it.

What the law asks for

Rule 55 of the CGST Rules allows a delivery challan instead of an invoice in these cases and lists its particulars. It is made in triplicate: “original for consignee”, “duplicate for transporter” and “triplicate for consigner”.

If an e-Way Bill is needed (Rule 138), it is generated on the challan. For job work, an e-Way Bill is needed for inter-state movement whatever the value. Job-work inputs must come back within one year (three years for capital goods), or the dispatch is treated as a supply on the day it left (section 143).

Make it in billinginfo

  1. Tap + Create and choose Delivery Challan on the phone, or Sales → Delivery Challan tab → + New Delivery Challan in the web app.
  2. Pick the consignee, add the goods with quantity and value. Stock goes down when the challan is saved.
  3. Write the purpose and vehicle number in the notes; print the three copies.
  4. If an e-Way Bill is needed, generate it for the challan from the e-Way Bill screen (Plus, Pro and Max plans).
  5. If the goods are sold, convert the challan to a sales invoice. For job work, the Manufacturing module has job-work challans with returns.

FAQ

Questions about the delivery challan

Something else on your mind? Write to us or see the help page.

Is GST charged on a delivery challan?

Not when the movement is not a supply, such as job work or a transfer within the state. Where the goods move for a supply to the consignee (liquid gas, lots), the tax rate and amount are shown.

Do goods on a delivery challan need an e-Way Bill?

Yes, if the value and distance rules of Rule 138 require one. Inter-state job work always needs one.

Can I send goods to my other branch on a challan?

Within the same state and the same GSTIN, yes. A branch in another state has a different GSTIN, so it is a supply that needs a tax invoice.

How long can job-work goods stay with the job worker?

Inputs one year, capital goods three years, from the day they were sent.
