Quotation format

A price offer you send before the sale. It is not a GST document, but a clear one wins more orders and avoids arguments later.

What it is

A quotation (or estimate) tells a customer what you will supply, at what price and on what terms, before they commit. It creates no sale and no tax liability. If the customer accepts, you make the tax invoice later, usually from the same lines.

Since GST law does not cover quotations, you are free to choose the layout. What matters is that the customer sees the full cost, including GST, and how long the price holds.

A good quotation answers the questions a buyer would otherwise phone you about: exact specification or brand, what is included (delivery, installation, freight), how long the price holds, how much advance you need and when the goods will reach them. Number your quotations in their own series so you can track which ones turned into orders.

When to use it

  • A customer asks for prices before ordering: furniture, building material, printing, repairs, bulk orders.
  • You bid for a contract or reply to a request for quotation.
  • Prices change often and you want a written validity date.
  • You want to turn the accepted offer into an invoice without typing it again.

What the law asks for

A quotation is not a document under the CGST Act or Rules: no invoice number series, no reporting in GSTR-1 and no tax becomes due when you send it. Tax is due only when you supply the goods or services and issue the tax invoice.

Still, show the GST rate and amount on the quotation. If the buyer is registered, the GSTIN on both sides helps them check whether CGST+SGST or IGST will apply. Under the Indian Contract Act, an accepted offer can become a binding contract, so state the validity, delivery and payment terms you mean.

Make it in billinginfo

  1. Tap + Create → Quotation/Estimate on the phone, or Sales → Quotation tab → + New Quotation in the web app.
  2. Pick the customer, add items with quantity, rate and discount; GST is worked out as on an invoice.
  3. Set the due date as the validity, and add delivery and payment terms in the terms box.
  4. Save, then share the PDF on WhatsApp or e-mail.
  5. When the customer agrees, open the quotation and convert it to a sales invoice, proforma invoice or delivery challan: the lines carry over.

FAQ

Questions about the quotation / estimate

Something else on your mind? Write to us or see the help page.

Is GST payable when I send a quotation?

No. GST becomes due on supply. A quotation is only an offer.

Should the quotation number follow my invoice series?

No. Keep a separate series, such as QO-0001. Invoice numbers must stay consecutive, and quotations that never turn into sales would leave gaps.

What is the difference between a quotation and an estimate?

In everyday use they mean the same. Some trades use estimate for a rough figure and quotation for a firm price; write the validity and terms either way.

Can I convert a quotation into a tax invoice?

In billinginfo, yes: open the quotation and choose to convert it. The invoice gets its own number from your invoice series.
