Purchase order format

The written order a buyer sends to a supplier. It fixes what you want, at what price, by when. It is not a GST document.

What it is

A purchase order (PO) is issued by the buyer. It lists the goods or services wanted, quantities, agreed rates, taxes, delivery date and payment terms. Once the supplier accepts it, it is the reference for the delivery, the supplier's invoice and the payment.

Small shops often order by phone, but a PO pays for itself as soon as a supplier sends the wrong quantity or a different rate: you have it in writing.

A PO also helps with stock planning. Open orders show what is already on the way, so you do not reorder the same goods twice, and comparing the PO, the goods received and the supplier's bill catches short supply and wrong rates before you pay. Ask the supplier to quote the PO number on the invoice so the three papers can be matched later.

When to use it

  • Ordering stock from a distributor or company.
  • Any order where rate, brand or delivery date matters.
  • When the supplier needs a written order before dispatch.
  • To compare later what was ordered, received and billed.

What the law asks for

A purchase order is a commercial document. It is not covered by the CGST Act or Rules, has no GST effect and is not reported in returns. The tax side starts with the supplier's tax invoice when the goods arrive; that is what you need for input tax credit.

Under contract law, an accepted PO is a contract, so write the rate, quantity, delivery date and payment terms you mean.

Make it in billinginfo

  1. Tap + Create and choose Purchase Order on the phone, or Purchases → Purchase Order tab → + New Purchase Order on the web.
  2. Pick the supplier and add items with the agreed rate and quantity.
  3. Set the delivery date and write the terms; save and share the PDF with the supplier.
  4. When the goods arrive, open the PO and convert it to a purchase invoice. Stock goes up then, not when the PO is made.

FAQ

Questions about the purchase order

Something else on your mind? Write to us or see the help page.

Is GST charged on a purchase order?

No. A PO only records the order. GST is charged on the supplier's invoice.

Can I claim ITC on a purchase order?

No. Input tax credit needs the supplier's tax invoice.

Does a PO change my stock?

No. In billinginfo, stock changes when you convert the PO to a purchase.

What is the difference between a PO and a purchase invoice?

The PO is your order. The purchase invoice records the supplier's bill for what actually arrived.

Do I need a PO for every purchase?

No. Small cash purchases rarely need one. Use POs for regular suppliers, large orders and anything with a price or delivery date you want in writing.
